Moving GloriaFood receipts and reports: what to save, what changes
By Arslan Munir
Receipts and reports don't feel urgent. Nobody rings to complain that the end-of-day email didn't arrive. That's why they get left to the last week, and then a chargeback lands, or your accountant asks for last March, and the only copy was inside an admin panel that has closed.
This page covers that one job: the paperwork side of leaving GloriaFood. For the full timeline, start with the GloriaFood shutdown guide, or see Chefzi vs GloriaFood if you're still choosing. Chefzi isn't affiliated with GloriaFood or Oracle.
The 30-day window is not a plan
Oracle's GloriaFood end-of-life FAQ (checked 24 October 2026) gives 30 April 2027 as the end-of-life date. Services end on the expiry date of your subscription renewal, somewhere between 1 and 30 April 2027, unless you cancel earlier. After expiry, cancellation or termination you may retrieve your data for 30 days, by asking through chat in your account portal.
That window is a safety net. Download everything you want while you can still log in and click the buttons yourself, and do it before you cancel GloriaFood.
What GloriaFood gives you today
It helps to list what you're replacing, because some of it you may use without thinking about it.
- Two receipt templates. GloriaFood's printing guide describes a Client receipt (payment method, delivery or pick-up time, drive time and directions for delivery, contact details, items, prices, taxes and total, and a signature box) and a Kitchen essentials template (order type, client name and comments, items with their changes and quantities, and a quality-control box for the packing station).
- A receipt editor. You can change font size line by line, drag sections around, remove sections and add free-text sections. GloriaFood notes these custom templates need a printer that can print images; a text-only printer gets a plain default layout.
- Reports. Its pricing page lists Detailed Reports and an End of Day Report emailed each day with sales, tips, order types and more.
- Promotion stats and exports. The November 2023 update moved Promotion Stats into Reports, with preset time frames, chart or table views, and export as a CSV or XLS file.
- Print order. Under Reports, List View, Orders, an expanded order has a Print order button that puts order and client details on one sheet. GloriaFood suggests it for chargeback evidence.
Step 1: Download before you switch
Work through this list in one sitting, and save every file to a folder you own: your laptop plus a cloud drive, not a GloriaFood login.
| Download | Where in GloriaFood | Why you'll want it |
|---|---|---|
| Orders list | Reports, List View, Orders | Your sales history and the baseline below |
| Clients list | Reports, List View, Clients | Who ordered, for permission-based marketing later |
| Promotion stats | Reports | Which offers earned their keep |
| Printed orders for open disputes | List View, Orders, Print order | Evidence for any chargeback still running |
| A few recent end-of-day emails | Your inbox | The numbers you're used to reading |
The general export step is also in Step 2 of migrate from GloriaFood. If you're rebuilding offers from the promotion stats, see replace GloriaFood promotions.
Name the files plainly, for example "gloriafood-orders-2025-04-to-2027-03.csv", and add a short note in the folder saying where they came from and when you downloaded them. In two years, nobody will remember.
How long to keep them
These files are business records. GOV.UK sets the minimum periods:
- Limited company: keep records for 6 years from the end of the last company financial year they relate to.
- Sole trader: keep records for at least 5 years after the 31 January submission deadline for the tax year.
- VAT-registered: HMRC's VAT record-keeping notice says to keep VAT business records for at least 6 years, generally.
Your clients list is different, because it holds personal data. The ICO's guidance on storage limitation says you should be able to justify how long you keep personal data, set standard retention periods where you can, and consider requests for erasure. Keep the clients file for as long as you have a reason to, write that reason down, and delete it when the reason ends. Your accountant can confirm which periods apply to your business.
Step 2: Map receipts to Chefzi
Chefzi's receipts and reports work in a simpler way than GloriaFood's editor:
| GloriaFood | Chefzi |
|---|---|
| Client receipt template | A PDF receipt for every order, downloadable and printable |
| Receipt sent to the customer | Customer email receipts, sent automatically |
| Kitchen essentials template | The order ticket in the Chefzi app, with items and extras |
| Drag-and-drop receipt editor | No published template editor; ask on a call if you rely on custom sections |
| Signature box at handout | Not on the list of Chefzi features; check on a call if your drivers use it |
If you print tickets at the pass today, printing is covered in replace the GloriaFood order-taking app. The short version: the Chefzi app can talk to a Bluetooth printer you choose, and every order has a PDF you can print. If you depend on a particular thermal printer, ask us to test that model before you switch.
Put one real order through, with extras and a delivery address, and read the receipt from the customer's side and the ticket from the kitchen's side. If a detail your staff rely on is missing, find out now, while GloriaFood is still taking orders.
Step 3: Map reports to Chefzi
| GloriaFood | Chefzi |
|---|---|
| Detailed Reports dashboard | Daily totals of orders, revenue and average basket |
| CSV or XLS export | Export to download for your accountant |
| End of Day Report email | Check on a call how you'll see the same daily numbers |
| Promotion stats | Rebuild offers as Chefzi promo codes and track them from your totals |
The Chefzi numbers are deliberately plain: what came in today, how much, and the average basket. If your GloriaFood end-of-day email showed tips or a split by order type that you check every night, raise it on the call so you know where to find it.
A receipt is not a VAT return. Hot food and cold food are treated differently, and delivery doesn't change that. The tests are in VAT on takeaway food.
Step 4: Set a baseline before the first Chefzi week
Before you switch, take the GloriaFood orders export and write down three numbers for each of the last eight to twelve weeks:
- Orders per week.
- Revenue per week.
- Average basket. Revenue divided by orders.
Put them in a small sheet. After the switch, add the same three numbers from your Chefzi daily totals each week. That gives you a fair comparison of your own figures, rather than a feeling. Compare like with like: a week with a bank holiday or a school half-term will look different on either system.
Watch the average basket in particular. If it drops after the move, check your extras and meal deals came across from GloriaFood. If it rises, you'll want to know which items did it. For what those numbers mean for profit, see restaurant profit margin.
Chargebacks around the switch
A card dispute can arrive weeks after the order. If you took online payments through GloriaFood, print the evidence for any open dispute before your account ends, using the Print order button above. Orders taken after the switch belong to your new set-up. With Chefzi, online card payments run through your own Stripe account on the £19 plan; connecting it is covered in move GloriaFood card payments to Stripe.
A one-page checklist
- Orders, clients and promotion stats downloaded and saved twice.
- Printed orders for any open dispute.
- Retention periods noted in the folder.
- One test order read as a customer and as the kitchen.
- Eight to twelve weeks of baseline numbers in a sheet.
- The end-of-day numbers your team checks, matched to the Chefzi daily totals.
Table cards are a different job. Replacing GloriaFood dine-in QR ordering covers one code per table.
The rest of the move, in order, is on migrate from GloriaFood.
Keep every order on your own site
Early Black Friday & Cyber Monday Deal: new sign-ups get 3 months free, with no setup fee. The deal ends at 23:59 on 1 December 2026. Migration from GloriaFood or any other provider is 100% free.
After the free period, Chefzi is £9 a month for cash or no-card ordering, or £19 a month with online card payments through Stripe, per location, excluding VAT. Standard Stripe fees apply. There's no setup fee and no commission on any order. See Chefzi pricing and what Chefzi does not do.
Frequently asked questions
How long do I have to download my GloriaFood reports?
Oracle's end-of-life FAQ says you can retrieve your data for 30 days after your GloriaFood services expire, are cancelled or are terminated. Services end at your renewal expiry between 1 and 30 April 2027 at the latest. Download what you need before the switch rather than relying on that window.
Can I import my GloriaFood order history into Chefzi?
Plan to keep your GloriaFood exports as your own archive. Chefzi has not published an import for past orders, so ask on a call if you need one. Store the files where you control them, so you and your accountant can open them after the GloriaFood login has gone.
Does Chefzi send customers a receipt?
Yes. Every Chefzi order gets a PDF receipt that you can download and print, and customers get an email receipt automatically.
Does Chefzi have a receipt editor like GloriaFood's?
Chefzi does not publish a receipt template editor. If you rely on custom receipt sections, such as a promo message or a signature box, ask on a call before you switch so you know what the Chefzi receipt shows.
How long should a UK restaurant keep its order records?
GOV.UK says a limited company must keep records for 6 years from the end of the last financial year they relate to, and a sole trader for at least 5 years after the 31 January submission deadline. VAT records are generally kept for at least 6 years. Ask your accountant which applies to you.
